Happy Pants Travel Policies

At Happy Pants, we believe travel should be exciting, stress-free, and memorable.  We handle the planning so you can focus on the fun.  Therefore, clear guidelines help keep every trip running smoothly for all our travelers.

The policies below outline important details about payments, cancellations, responsibilities, and what to expect when you travel with us. They’re designed to protect both you and Happy Pants so everyone can pack up, show up, and enjoy the adventure.

By booking or traveling with Happy Pants, you agree to the policies outlined below. These policies may be updated at any time without prior notice.

Our Role
Happy Pants serves as a booking agent for transportation providers, hotels, venues, restaurants, cruise lines, airlines, and other suppliers.
We are not responsible for delays, cancellations, injuries, losses, damages, or schedule changes caused by third-party providers or events beyond our control.
We are not liable for loss or damage to baggage or personal belongings.
Happy Pants reserves the right to refuse or remove any traveler due to behavior, health concerns, safety risks, or policy violations.

Itineraries & Schedule Changes
All itineraries are based on confirmed reservations at the time of publication but may change.
Changes may occur due to:
     Performer or venue cancellations
     Supplier adjustments
     Low participation
     Weather or natural disasters
     Public health events
     Civil unrest or government restrictions
When possible, comparable substitutions will be made. Refunds are not issued for changes outside our control.

Departures & Pickups
Day Trips: Departure details are emailed prior to travel.
Multi-Day Trips: Final itineraries and departure information are emailed approximately 2–4 weeks before departure.
Guests must arrive at least 15 minutes prior to departure time.
Missed pickups are considered no-shows and are non-refundable. If feasible, you may drive to the next scheduled pickup location.
Pickup locations are determined based on trip logistics.

Payments
Day Trips: Full payment required at booking.
Multi-Day Trips: Non-refundable deposit required to reserve space.
Final payment due dates are provided at booking and vary by trip.

Accepted Payment Methods:  Visa, Mastercard, Discover, American Express, personal checks and money orders
Returned checks incur a $50 fee. After one returned check, certified funds may be required.

Failure to pay by the final due date results in automatic cancellation and forfeiture of all payments.

Cancellation Policy
All cancellations must be submitted in writing.
Non-Refundable Windows
     Day Trips: Non-refundable upon booking
     Domestic Motor coach: Within 75 days of departure
     Domestic with Airfare: Within 120 days
     International: 180–220 days prior (varies by trip)
If cancellation occurs within the non-refundable window, all payments are forfeited.
If cancellation occurs outside the non-refundable window: Traveler forfeits deposit.
Some trips may include additional supplier-specific terms disclosed at booking.

Rescheduled or Cancelled Trips
If Happy Pants reschedules a trip due to circumstances beyond our control, guests may: Transfer to the new departure date, or receive trip credit for the full amount paid. Cash refunds are not guaranteed unless otherwise stated.
If we operate a trip and you choose not to travel, your cancellation is considered voluntary and non-refundable.

Baggage Guidelines
Motor coach – Day Trips:  One personal item. Limited carry-on space.
Motor coach – Multi-Day (No Air):  One large suitcase plus one personal item.
Trips Including Airfare or Other Transportation:Airline or supplier baggage policies apply. Luggage fees are not included unless specifically stated.
Storage space for shopping purchases is limited. Oversized or excessive items may be restricted.

Passenger Responsibilities
Health: Travelers must be medically fit to travel. We may refuse boarding to anyone exhibiting illness symptoms.
Independence: Guests must be able to care for themselves unless accompanied by a caregiver.
Smoking: Prohibited on motorcoaches by federal law.
Alcohol: Must be consumed responsibly. Disruptive behavior may result in removal at the guest’s expense.
Seating: Single occupancy does not guarantee two seats on transportation. Additional seats may be purchased if available.
Room Requests: Bed type and special accommodations must be requested at booking and may incur additional charges.
Age Requirement: Minimum age is 13. Guests under 18 must travel with an adult.

Meals
Included meals may vary in restaurant, format, or menu unless specifically named. Hotel breakfasts are standard hotel offerings.

Photography & Media
By traveling with Happy Pants, you grant permission for photos and videos taken during the trip to be used for promotional purposes unless you notify us in writing.

Activity Levels
Level 1: Light walking, minimal stairs
Level 2: Moderate walking, hills, uneven terrain
Level 3: Active touring, extended walking, stairs
Level 4: Active touring; not mobility-device accessible
Guests are responsible for selecting trips appropriate for their ability.
